Purchasing Officer (F&B Ingredients)
About the role
The Inhouse Chef Group operates a central kitchen supporting casual dining outlets, hawker-style concepts and catered events across Singapore. We source a wide range of fresh, frozen and dry ingredients — from Pasir Panjang Wholesale Centre suppliers to trusted regional importers — to maintain consistent quality and competitive pricing.
As Purchasing Officer you will manage end-to-end procurement for ingredients, coordinate deliveries with suppliers and the central kitchen, maintain inventory and cost reports, and work closely with chefs to forecast demand. The role involves both office-based purchasing tasks and regular market/supplier visits, including early-morning sourcing trips when required.
This is a hands-on position ideal for someone with 2–5 years of F&B procurement or supply-chain experience who knows local supplier networks and has strong negotiation and Excel skills. Key responsibilities
- Raise and manage purchase orders for fresh, frozen and dry ingredients according to forecast and par levels
- Source and negotiate with local and regional suppliers to secure competitive prices, credit terms and delivery windows
- Coordinate delivery schedules with the central kitchen and individual outlets; manage urgent/short-notice orders
- Maintain and update supplier database, price lists and vendor agreements
- Monitor stock levels, conduct cycle counts and reconcile inventory variances with kitchen teams
- Work with chefs to forecast demand for promotions, seasonal menus and events
- Ensure incoming deliveries meet quality and food safety standards; reject and document substandard goods
- Prepare weekly/monthly purchasing and food-cost reports for management
- Liaise with logistics partners for cold-chain handling and coordinate special import/customs documentation when needed
Requirements
- Minimum 2 years’ relevant procurement or purchasing experience in F&B, central kitchen or hospitality environment
- Practical knowledge of Singapore supplier landscape (Pasir Panjang Wholesale Centre, local importers and distributors)
- Strong negotiation skills and proven experience reducing costs without compromising quality
- Proficient in Excel (VLOOKUP, pivot tables) and experience with procurement/ERP systems or willingness to learn
- Working knowledge of food safety requirements (HACCP, cold-chain principles) and ability to conduct basic QC checks
- Good communication skills in English; ability to liaise with vendors, drivers and kitchen staff
- Flexible to attend early-morning sourcing trips or coordinate early deliveries when required
- Physically able to handle stock checks and occasional lifting of goods (up to ~25kg)

Work schedule
Typical week: 5 days per week (Monday–Friday), occasional weekend or public holiday coverage for deliveries and events
- Day shift: 9:00am – 6:00pm (standard office hours)
- Early-morning sourcing trips: 4:00am – 8:00am (scheduled 1–2 times per week as needed)
- Occasional extended hours when supporting event procurement or urgent restocks
