About the role

Marina Bay Banquets & Events operates banqueting and event services for corporate dinners, weddings, product launches and private celebrations in the Marina Bay / Downtown area. We run ballroom and function-room setups for 50–500 guests, offering plated dinners, buffet spreads, cocktail receptions and hybrid corporate formats.

The Banquet Coordinator will be the operational lead on assigned events: owning event orders, coordinating kitchens and front-of-house teams, managing third-party vendors (AV, florists, rental), and ensuring timelines and quality standards are met. This role suits candidates with 2–5 years' experience in hotel or large-scale events who enjoy fast-paced, client-facing work and are comfortable with evening and weekend schedules.

You will work closely with the events sales team and senior management, with opportunities to progress into Senior Coordinator or Conference Services Manager roles. The role offers exposure to high-profile corporate clients, regular wedding business and hybrid event technology used across Singapore's CBD venues.

Key responsibilities

  • Prepare and maintain detailed Event Orders (EOs) and Banquet Event Orders (BEOs) for each function, ensuring accuracy of menus, AV, seating and timing
  • Liaise with clients from confirmation to event day, responding to queries and managing on-the-day changes
  • Coordinate with culinary teams to confirm timelines for food production, plating, and service flow
  • Supervise banquet setup and breakdown, including room layout, linen, tableware, signage and supplier coordination
  • Manage FOH teams, assign duties to banquet supervisors and servers, and conduct pre-event briefings
  • Oversee inventory of banquet equipment and consumables; liaise with purchasing for urgent replenishments
  • Ensure compliance with health, safety and licensing requirements including alcohol service policies
  • Compile post-event reports, client feedback and billing notes for the accounts and sales teams
  • Troubleshoot operational issues during events and escalate to management when required

Requirements

  • Minimum 2 years’ experience in banquets, events coordination or hotel conference services in Singapore or the region
  • Strong understanding of event order documentation and FOH operational flow for banquets and cocktail functions
  • Excellent verbal and written English; confident client-facing skills and professional presentation
  • Proficient with MS Office (Excel / Word) and comfortable learning event-management systems
  • Ability to work flexible hours including evenings, weekends and public holidays; willing to perform site duties during peak periods
  • Physical ability to inspect setups, move light equipment and stand for extended periods
  • Good organisational skills with attention to detail and ability to manage multiple events concurrently

Work schedule

Typical week: 5.5 days per week, including weekends and public holidays on rotation depending on event schedules.

  • Day shifts for set-up and corporate functions (typical 09:00–18:00)
  • Evening shifts on event nights (typical 14:00–23:30) with late finishes
  • Split shifts during large events or back-to-back functions
